imageCLASS MF644Cdw- Setting up "Scan to Email" using Gmail SMTP / help?

For the past several months, I have tried setting up my MF644CDW to scan to email. I've followed the instructions to the best of my ability, and read a number of posts on here... and yet, I'm still stuck. Turning to this forum in the hopes someone has cracked the code.

 

Here's what I've done so far:

 

  • Using RemoteUI, gone to Settings & Registration > Network Settings > Port Number Settings
    • I set the SMTP port to 587
  • Using RemoteUI, gone to Settings & Registration > TX Settings > E-Mail/I-Fax Settings
    • SMTP server: smtp.gmail.com
    • E-mail address: (my username)@gmail.com
    • Password: (my gmail password)
    • Use SMTP authentication (SMTP Auth): checked yes
      • Username: (my username)@gmail.com
    • Use TLS for SMTP: checked yes
  • On Gmail itself (a free personal account, if it matters...) I enabled "less secure apps"

 

Here's what happens when I try to Scan to E-mail:

 

  • Very quickly, after scanning a document, the printer warms up and prints out a status report. There are not many details: only the number of pages, the destination email, and the word "ERROR"

Did I miss something here? Is there a way to get more information from the printer about what the error actually is - is it an authentication error, something else?

 

Appreciate any pointers you guys have. Going crazy here...

Hello to all,

My gmail settings were not working, following all the instrucrions though. It was working in the past. Finally, i restore the default settings and it worked again. I think some issues relates to SMTP was somehow fixed in this way.

Thank you for the steps you've presented. I'm writing this in 2024, some three years since you posted, and they're still working. Canon couldn't help at all and I spent hours looking on their website for the solution. But on the Canon Community, your instructions were nailed it.

Worked for me, excellent advice, I also changed the scan link setting to using TLS which was not set when the scanner shipped. Not sure if this was necessary but all good.

Hello, I have found this thread extremely helpful in setting up my scan to gmail in the past. I have recently changed my gmail password and and now at a roadblock. I was getting 839 error codes. I reset the printer and check all the above settings and am now getting 806 error codes. I tried to create a new app password according to the instructions, however I no longer see 

4- Scroll down to section that says 'Signing in to Google'.

That option seems to not be there anymore. I also have no idea what or how to set this up, if this is the solution.

Starting in Fall of 2024, Google Workspace accounts will no longer support less secure apps, third-party apps or devices that ask you to sign in to your Google Account using only your username and password. For exact dates, visit Google Workspace Updates. To access apps, you must use OAuth. To prepare for this change, review the details in Transition from less secure apps to OAuth.

Greetings,

I help users with this conundrum frequently.

When you are in your Google account settings under I believe security use the search box up at the top Of the interface and type in app password. 

Once you search, it will bring the app password interface up for you and allow you to create a new app password. 

Copy then paste the app password to notepad or a text editor and remove the spaces. Copy again and paste those 16 digits in without spaces.

**Make note of the password because it only displays once.  😉

That worked, thank you! I put the password in (without spaces) and double checked my settings and I am good to go. I want to thank you as something this simple is hugely important to our business. Thank you again for always helping solve issues on this forum.
