imageCLASS MF644Cdw- Setting up "Scan to Email" using Gmail SMTP / help?

ckaas1988

For the past several months, I have tried setting up my MF644CDW to scan to email. I've followed the instructions to the best of my ability, and read a number of posts on here... and yet, I'm still stuck. Turning to this forum in the hopes someone has cracked the code.

Here's what I've done so far:

  • Using RemoteUI, gone to Settings & Registration > Network Settings > Port Number Settings
    • I set the SMTP port to 587
  • Using RemoteUI, gone to Settings & Registration > TX Settings > E-Mail/I-Fax Settings
    • SMTP server: smtp.gmail.com
    • E-mail address: (my username)@gmail.com
    • Password: (my gmail password)
    • Use SMTP authentication (SMTP Auth): checked yes
      • Username: (my username)@gmail.com
    • Use TLS for SMTP: checked yes
  • On Gmail itself (a free personal account, if it matters...) I enabled "less secure apps"

Here's what happens when I try to Scan to E-mail:

  • Very quickly, after scanning a document, the printer warms up and prints out a status report. There are not many details: only the number of pages, the destination email, and the word "ERROR"

Did I miss something here? Is there a way to get more information from the printer about what the error actually is - is it an authentication error, something else?

Appreciate any pointers you guys have. Going crazy here...

It was working for me within August but not working anymore with the same settings. Firmware updated, but nothing improved. Any news?

What error are you getting?  Unless changed, the default behavior prints a transmission failure report if send fails..

I'm using port 587 and Gmail with an app password.  I just tested.  Working fine.

>>>>>6- Click on 'App Passwords' to setup a password for your Canon. You may have to sign into your Google account again.

There is no option for "App Passwords"There is no option in Gmail to add an unregistered app, it only lists the apps that are currently registered.

Is this something that has changed recently in Gmail or does it require a different option I haven't selected?

Thank you

I found this from Google and it tracks with the timing

Starting in Fall of 2024, Google Workspace accounts will no longer support less secure apps, third-party apps or devices that ask you to sign in to your Google Account using only your username and password. For exact dates, visit Google Workspace Updates. To access apps, you must use OAuth. To prepare for this change, review the details in Transition from less secure apps to OAuth.

According to Google, they are no longer allowing third party apps that send password information.  You can read more at the links included in the following:

Hello, this has all recently stopped working. It was working in September but not in October.
I am using app password and re-checked all the settings.
Still ERROR ( 802 it seems according to the report)
Google says it is allowing app password, not sure what the problem is. We dont have to use  Oauth.
What do we do with out existing Canon MF devices?

I used to use my Comcast email account to 'Scan to email' but it stopped working about 2 years ago. I switched to Gmail but it also stopped about a year ago like everyone else. To block spam I believe that these large providers have permanently blocked these ports and made the old solutions useless.

MY SOLUTION: I pay for a hosted domain that I use for hobbies, photos, blog, etc. I configured one of the built in email accounts for scan to email and it works perfectly and reliably. My advice is get your own real domain.

Greetings ,

My experience has been different than yours.  I've used Comcast and Gmail successfully.  I'm still using Gmail today.  Comcast requires that you use the account regularly, otherwise they disable your ability to use SMTP relay.  You have to log into the account periodically to keep it active which I don't do.

Gmail is much more forgiving.  I've been using it for about 3 years.  Recently with both printers I own.  To use Google, you have to use an app password.  My Scan to email has been 100% reliable.  I'm sure a hobby domain would work fine as well.

You're right. Some people seem to have no problem with Gmail, my Comcast acct is old I wouldn't be surprised if SMTP is turned off.
