imageCLASS MF663Cdw Can't set up email scanning

I just purchased the Image Class MF663 Printer and want to scan to either my computer or email. I am trying to set up the email and have tried both my gmail account and Xfinity/Comast account. When I try it with my Comcast email and enter in the SMTP and POP settings, I get a message saying that my username and password is not correct (but it IS correct).

When I try to set it up with my gmail account, it can't find either the SMTP or POP server.

To start, it’s important to clarify that Canon USA does not officially support troubleshooting the specific connection between the printer and third-party email providers (like Gmail or Xfinity). Because these providers frequently update their security protocols, the "Username/Password incorrect" error is almost always an authentication block on their end, rather than a hardware failure.

However, many of us here have found the specific "workarounds" required to get these services talking to your MF663.

Step 1: Accessing the Remote UI

To enter these settings correctly, it is much easier to use a computer via the Remote UI rather than the small screen on the printer.

  1. On the printer’s operation panel, select Status Monitor.

  2. Select IPv4 under Network Information to find your printer's IP Address (e.g., 192.168.1.50).

  3. Type that IP address into the address bar of a web browser on your computer.

  4. Log in as Administrator (the default PIN is 7654321 unless you have changed it).

Step 2: Configuring Authentication (Gmail vs. Xfinity)

If using Gmail (Consumer Account):

Standard passwords will not work. Google requires an App Password for devices that don't support modern "Sign in with Google" screens.

  • Requirement: You must have 2-Step Verification enabled on your Google Account.

  • The Fix: Go to your Google Account Security settings and search for "App Passwords." Create one named "Canon Printer." Google will provide a 16-character code.

  • Settings: In the Remote UI, go to Settings/Registration > Network Settings > E-Mail Settings. Enter the 16-character code into the Password field. Use SMTP Server smtp.gmail.com on Port 465 (SSL/TLS) or 587 (STARTTLS).

If using Xfinity / Comcast:

Xfinity often blocks third-party "embedded" clients by default.

  • The Fix: Log into the Xfinity Connect web portal. Go to Settings (Gear Icon) > Settings > Security. Ensure "Allow access to third-party programs" is checked.

  • Settings: Use SMTP Server smtp.comcast.net on Port 587 with STARTTLS encryption.

Step 3: Check Your DNS Settings

If you get a "Server not found" error, the printer likely needs a manual DNS entry.

  1. In the Remote UI, go to Settings/Registration > Network Settings > IPv4 Settings.

  2. Manually set the DNS Server Address. Try using Google’s Public DNS: 8.8.8.8 for Primary and 8.8.4.4 for Secondary.

  3. Restart the printer to apply the changes.

Pro Tip: Always avoid Port 25. Most residential ISPs (including Xfinity) block this port entirely to prevent spam. Stick to 587 or 465.

Final Note: If you have confirmed the settings above are entered correctly on the Canon side and the connection still fails, you will need to reach out to your email provider or ISP to confirm that your account is allowed to send outbound email from a non-standard email client like a printer.

When I log in the Remote UI, there is a big white box that says Initial Settings, and the choices are Scan, Web Service and Toner Delivery Settings. I can't click around the box to get to the DNS settings. When I try to enter the Google info: SMTP.google.com, my email and POP.google.com and the new app password that Google gave me, it can't find the server at all. Ugh!
