We have a strange problem with a new C256III office printer. Our other printer, C5840, is able to scan and mail documents through Googles SMTP service. I have duplicated all settings in the Send/Mail settings (port number, google account, password, TLS boxes etc) but I am still unable to get a mail sent. The error message in the send log is that authentication failed, SMTP-AUTH (#839). The used mail account and password is verified to be correct.
Best would be if there was a way to sync *all* settings related to scan/mail from our main printer. I have setup sync and according to the log, settings are synced. But I am not sure that *all* relevant settings is included.
Any ideas?

With Google you need to setup 2-factor authentication and a specific app password for each device. Also check the security section and make sure the device hasen't been flagged as suspicious as that will block I from working as well.

I have aquired a passphrase and added it to the account used for our Canon printers. Are you saying that I need to repeat that account setup (allow less secure devices) for each printer used? The weird thing is this: On the Settings/Send/Network Mail-fax settings there is a "Check connection button". If I use do this test on our C5840 printer, it succeeds. If I do the same on the smaller C256 printer, it fails with "SMTP authentication failed". Both printers are using the same google account for SMTP auth, and all settings are identical, even the account password. Still ... I dont get it 😕

The app password is device specific and cannot be used on another device. You can use the same account but the password is specific. See below for assistance with this. The less secure device thing was phased out a while back for security reasons.

I would also uncheck "Display authentication screen when sending" this is not needed in your setup.

I managed to get it working. The issue was that I was not using the app password in the SMTP auth dialog but instead I had entered the google mail account password. So the app password that I created a year or so ago for the other office printer could be reused on this printer too.
